FleetCollect Launches Automatic Text Reminders to Keep Driver Qualification Files Audit-Ready

FleetCollect, a compliance platform for small and mid-size trucking fleets, has added automatic SMS text reminders to its suite of tools, targeting the most common cause of Driver Qualification File (DQF) noncompliance: forgotten renewals. The feature texts drivers directly at 30, 14, 7, and 1 day before a document expires, and again after lapse, with a secure link to upload renewals from their phone. The reminders run automatically on every plan, not as a paid extra, and require driver consent with an opt-out option.

Per FMCSA regulation 49 CFR §391.51, motor carriers must maintain 18 specific documents per driver, including pre-employment records, annual reviews, and ongoing testing items. According to FleetCollect, DQFs are the first files DOT auditors examine and the most likely to be deficient. Common violations include lapsed medical cards, overdue Motor Vehicle Records (MVRs), and missing CDL copies. FleetCollect's dashboard tracks all 18 items and integrates with Checkr for one-click ordering of MVRs, background checks, and pre-employment drug tests.

"The driver has the document and a phone. The software should just ask them for it at the right moment — and read the date so nobody has to." The platform uses optical character recognition (OCR) to extract expiration dates from uploaded documents, and drivers can submit records through a secure portal. FleetCollect targets carriers overlooked by enterprise platforms, from single-truck owner-operators to mid-size fleets across sectors like auto transport and farm trucking. It works alongside any existing ELD system, such as those from Samsara or Motive, focusing on compliance paperwork those systems do not handle.
